International Student Exchange Pty Ltd understands that you value your privacy and wish to have your personal information kept secure. As an Exchange Student company, International Student Exchange Pty Ltd collects and holds a large range of personal information. For these reasons, International Student Exchange Pty Ltd places a high priority on the security of information held. We have developed this policy to inform you how we manage your personal information to maintain its integrity and security.

We aim to collect only personal information that is relevant and necessary to providing the service of arranging and operating exchange programs.

Naturally we collect and hold a broad range of personal information gathered during the course of providing our services. However as stated above, we strive to ensure that we collect and hold only that personal information which is relevant and necessary to the programs we arrange and operate.

Purposes of Collection:

We primarily collect information to allow us to arrange and operate educational programs offered by our organisation.

We may also use the information:

To respond to requests about programs that may affect you or your school;

To invite you to seminars or events that we conduct or host;

To inform you of developments at International Student Exchange Pty Ltd and other services that we can provide; and

To respond to any enquiry made via our web site or e-mail address.

Australian and/or overseas schools and their staff;

When information is disclosed to these third parties by us, we request that these organisations/individuals use such information in a legitimate manner in order to assist us organising our programs and that the personal information is not to be disclosed.

The following third parties may have access to personal information at times:

IT technicians may have access when providing on-site support although it is our practice for them to work under supervision,

Personal Information Quality:

We aim to ensure that your personal information is accurate, complete and up to date. To assist us in this, you need to provide true, accurate, current and complete information about yourself as requested and maintain and properly update the information to keep it true, accurate, current and complete.

If you find that the information is inaccurate or incomplete, please contact us and we will use reasonable effort to correct the information.

Securing Your Personal Information:

We are committed to maintaining the security and confidentiality of the data you provide us and we take all reasonable precautions to protect your personal information from unauthorised disclosure, use or alteration.

We have the following security systems in place to protect your information from loss, misuse and/or alteration:

All computers linked to our server are password protected and virus protected;

Client files are kept separate from public access;

Our employees and contractors all sign confidentiality agreements and training on the importance of the Privacy Legislation;

Written information is destroyed by using our shredding machine.

Accessing Your Personal Information:

You can ask us to provide you with access to all personal information that we hold about you. If we are able to, we will give you that access. In some cases, we may charge you a fee for access but in no cases will we charge you a fee for applying for access.

If we refuse your request for access, we will give you the reason for that refusal.

We are not required to provide access where:

The information relates to existing or anticipated legal proceedings between ourselves and an individual, and the information would not be accessible by the process of discovery in those proceedings;

Where denying access is required or authorised by law; or

Providing access would be unlawful.

Identifiers:

International Student Exchange Pty Ltd does not adopt as its own identifier of an individual an identifier of the individual that has been assigned by an agency or an agent of an agency acting in its capacity as agent or a contracted service provider for a Commonwealth contract.

Our organisation will not disclose an identifier assigned to an individual by an agency, or by an agent or contracted service provider unless the use or disclosure is necessary for our organisation to fulfill its obligations to the agency.

Transporter Data Flows:

Under the Privacy Policy laws, an organisation in Australia may transfer personal information about an individual to someone who is in a foreign country. Our organisation meets the condition to forward such information overseas for the purpose of our exchange program by gaining written consent by the individual whose information is being forwarded overseas.

We also take reasonable steps to ensure the information that has been transferred overseas, will not be used inconsistently with the National Privacy Principles.

Suitability Card if applicable.

Sensitive Information:

We collect sensitive information, i.e. health details, about an individual as a precautionary measure in the event that an individual takes ill with a host. We gain written consent from each individual to gain this type of information.

Changes to this statement:

This Privacy Policy is not a static document and we may make changes to this Privacy Policy from time to time for any reason. We will publish these changes on our web site or provide an updated version of this policy on request.
